From reconciled records to management reporting
Connecting transaction accuracy, restricted-fund visibility and variance analysis in a nonprofit finance workflow.
Context & role
Nonprofit accounting and management reporting
Executive & Finance Assistant · Coronado Historical Association
The challenge
Management needs reliable reporting and a clear view of spendable cash. A bank balance alone cannot explain budget performance or distinguish restricted resources from funds available for general operations. The analytical task is to connect reconciled records, supporting documentation and fund tracking to a decision-ready reporting pack.
Analytical approach
01 / Establish the accounting foundation
The professional role includes QuickBooks Online accrual accounting support, journal entries, deposits, bank and credit-card reconciliations, and supporting records. These responsibilities provide the context for a reporting workflow grounded in traceable transactions.
02 / Build the management view
The independent work sample organizes a fictional 12-month dataset into budget, actual and forecast comparisons. Monthly, quarterly and YTD views use the same underlying schedules, keeping the reporting basis consistent across periods.
03 / Reconcile cash and funds
Opening cash, collections and payments bridge to closing cash. Restricted and unrestricted schedules reconcile to that total, with restricted activity treated as a subset rather than an additional cash flow.
Findings & judgment
$53,700 below the planned surplus
In the synthetic full-year case, revenue is $19,200 above budget while expenses are $72,900 above budget. The $258,300 surplus therefore falls short of the $312,000 plan.
$355,500 of unrestricted closing cash
The model ends with $558,300 of total cash, including $202,800 restricted. Reporting only total cash would obscure the distinction between cash on hand and general-purpose availability.
Explain the variance before assigning a cause
January program expenses exceed budget by $14,500, or 12.1%. The dataset supports the amount and timing; it does not substantiate a staffing, vendor or event explanation.
Deliverable & demonstrated skills
The completed deliverable is an interactive reporting dashboard, an editable Excel workbook and a three-page management case study. Together they demonstrate how to turn accounting schedules into a focused conversation about performance, cash availability and follow-up actions.

Scope and limitations
The professional role uses accrual accounting; the public work sample deliberately uses simplified cash-basis synthetic data. It excludes receivables, payables and noncash items. No employer savings, close-time improvement or management adoption is claimed for this model.
